Last updated: 30 October 2026
This notice explains how we use personal information when you visit our website, enquire about cleaning, book a service or buy our digital templates. It also explains your choices and how to contact us about your information.
1. Who is responsible for your information?
Marcaspus Ltd is the controller responsible for the personal information covered by this notice. We are registered in England and Wales under company number 15405410. Our registered office is 17 Abbots Close, Rainham, England, RM13 9LA.
For privacy questions or requests, email Admin@marcaspuscleaningconsultants.co.uk, call 07565 730860 or write to our registered office, marked “Privacy”. You can also use our contact page.
2. Information we collect and where it comes from
We receive information directly from you through our enquiry forms, email, telephone, WhatsApp and service correspondence. A client, managing agent or other authorised contact may also give us the information needed to arrange a clean.
- Contact and enquiry details: your name, business name, email, telephone number, property address and the information you provide about your cleaning requirements.
- Service records: quotations, schedules, agreed work, access arrangements, correspondence, feedback and complaints.
- Payment and purchase records: invoice details, transaction references and digital-product orders. Online payment details are handled by the checkout provider; please do not send card details through our enquiry form.
- Website information: IP address, browser and device information, pages visited and technical or usage information collected through website tools and cookies.
- Photographs: where photographs are supplied or taken to discuss or document work, they may contain personal information. Please avoid including people, private paperwork or other confidential details when sending photographs.
We need sufficient contact and property information to respond, quote and deliver the work. If you choose not to provide it, we may be unable to prepare a quote or carry out a booking. Please do not include health information, identity documents, alarm codes or confidential client records in a general website enquiry.
3. Why we use information and our lawful bases
- Enquiries, quotations and bookings: to take steps at your request before entering a contract, and to perform a contract with you. When you represent a business or another customer, we rely on our legitimate interests in communicating with the right contact and organising the service.
- Service administration and support: to manage schedules, answer questions, investigate complaints and maintain business records. We rely on contract where applicable and our legitimate interests in running and improving our services.
- Accounts and legal matters: to keep records required by tax and other applicable laws, relying on legal obligation. We may also retain relevant records for our legitimate interests in establishing, exercising or defending legal claims.
- Website operation and security: our legitimate interests in maintaining a functioning, secure website and preventing misuse. For cookies or similar technologies that require consent, consent is the relevant basis.
- Optional marketing: where consent is required, we ask for it separately. Sending an enquiry does not by itself mean you have agreed to promotional messages. You can ask us to stop direct marketing at any time.
Where we rely on legitimate interests, we consider the purpose, necessity and impact on your rights. We do not sell or rent your personal information.
4. Who may receive your information?
We share relevant information only where needed for the purpose involved. Recipients may include staff or service personnel arranging or completing your booking; website hosting, IT, email and business administration providers; payment and digital-delivery platforms; accountants, insurers and professional advisers; and authorities where disclosure is required by law.
Our website uses WordPress and website analytics tools, including Google Analytics through MonsterInsights. Enquiries may be handled through form, email and customer-management services. Providers may act on our instructions or, for their own activities, under their own privacy notices.
Our cleaning templates page links to Gumroad for product details, checkout and digital delivery. Gumroad collects information when you use its platform. We may receive order and contact information needed to support your purchase and keep business records. Read Gumroad’s Privacy Policy before using its checkout. WhatsApp and other external platforms also apply their own privacy terms.
5. Information processed outside the UK
Some technology and payment providers operate internationally, so information may be processed outside the UK. Where a transfer is subject to UK data protection rules, an applicable UK adequacy arrangement, appropriate contractual safeguards or another permitted transfer mechanism is required. Contact us if you would like information about the providers and safeguards relevant to your enquiry or purchase.
6. Cookies and website tools
Cookies and similar technologies support website functions and can measure how the website is used. Some are necessary for functions you request; others may require consent or an applicable legal exemption. You can use available cookie controls and your browser settings to manage or delete cookies. Blocking necessary cookies may affect how a feature works.
This notice does not replace the cookie information or choices shown by an embedded service or external checkout. Contact us if you need details about a particular tool or cookie. You can find independent guidance on the ICO’s cookies information page.
7. How long we keep information
Our usual retention periods are up to two years for enquiries and general correspondence, and up to six years for booking, invoice and financial records, where needed for business, accounting or legal purposes. Relevant information may be kept longer where a legal requirement, ongoing complaint or legal claim makes this necessary.
For technical, analytics and service-support records, retention depends on the purpose, provider settings and whether identifiable information is still needed. We review information and delete or anonymise it when it is no longer required. Pseudonymised information remains personal information where a person can still be identified.
8. Security and responsible sharing
We take reasonable organisational and technical steps to protect personal information and limit access to people who need it for their work. No website or communication method can be guaranteed completely secure. Please contact us promptly if you believe information sent to us has been exposed or misused.
9. Your rights and choices
Depending on the circumstances and applicable exceptions, you can ask to access, correct or erase your personal information, restrict its use, object to processing based on legitimate interests, or receive portable information where that right applies. You have an absolute right to object to direct marketing.
Where processing relies on consent, you can withdraw it at any time. Withdrawal does not affect processing that was lawful before withdrawal.
Contact us using the details in section 1. We may request proportionate information to confirm your identity. We respond to rights requests without undue delay and normally within one month. Where the law allows extra time, for example for a complex request, we will explain the reason and revised timescale within the required period.
10. Concerns and complaints
Please tell us if you are concerned about how we handle your information so we can investigate and respond. You also have the right to complain to the UK Information Commissioner’s Office. Visit the ICO complaints page for guidance and contact options.
11. Children and changes to this notice
Our website and digital templates are intended for adults. We do not intentionally seek personal information from children through this website. If you believe a child has provided information, please contact us.
We may update this notice when our services or practices change. The latest version and its update date will appear here.
